What is a business brain? The knowledge base your AI agents read
A business brain is the set of pages your AI agents read before they write. It should be plain pages you can open, fix and download, not a black box.
Every AI agent that writes for your business is reading from something. A prompt. A folder of uploads. A hidden index nobody on your team has seen. Whatever that something is, it decides whether the quote carries your real prices and whether the reply names the towns you actually serve.
We call that something a business brain. This post explains what one is, what belongs in it, and why you should insist on one you can open, fix and download.
A short definition
A business brain is the written knowledge your AI crew works from: what you do, who you serve, what you charge, how you work and how you talk. In Brainztem it is a set of plain pages. Each page has a title and ordinary text, and you can read all of them on the Brain tab.
It is not the AI model. The model is the writer. The brain is what the writer has been told about you. Change the brain and the same model writes a different, more accurate email.
Where the pages come from
- Your website. The scan reads your public site and writes the first pages from it.
- Your own words. If you have no website, you describe the business in a few lines and the first pages are written from that.
- Your files. Drop a price list, a policy or a contract on the Brain tab and your crew files what is in it as a knowledge page. PDF, Word, Excel, PowerPoint, email, images and plain text all work.
- Your phone camera. Take a photo of a paper form or a price sheet and it becomes a page.
- Your answers. A short set of questions in chat captures the context a website never states.
- Your corrections. Any page can be edited, and the basic facts the scan inferred can be confirmed or corrected one by one.
Why plain pages beat a black box
Some AI tools keep what they know about you somewhere you cannot see. You find out what they believe only when a wrong answer reaches you, or worse, reaches a customer.
Plain pages turn that around. You can open the page your crew used and read it. If it says you offer weekend appointments and you stopped last year, you can see the sentence, and you can change it.
Pages also show where they came from. In Brainztem a page your crew inferred carries an AI badge and a note at the top saying it was not stated on your site, so you can edit or delete it. Pages you uploaded are marked as yours.
If you cannot read what your AI knows about you, you cannot correct it.
A brain you can fix
Open a page, press Edit page, change the text and save. Your crew and your documents use the corrected page from then on. The basic facts work the same way: confirm what the scan got right, correct what it got wrong, and your answer overrides the scan's reading.
This matters more than it sounds. A business changes. Prices move, a service is dropped, a new person answers the phone. A brain you can edit keeps up. One you cannot edit slowly turns into a record of how the business used to be.
A brain you can take with you
What your business knows is one of the most valuable things it owns. It should not be locked inside a subscription. In Settings, under Your data, "Download everything" gives the owner the whole workspace as one plain file: every brain page with your corrections, your tasks, drafts and notes. There is a spreadsheet backup as well.
That works in both directions. If you stop using the product, you leave with your pages. If you stay, you know you are staying by choice.
What a brain is not
It is not a live copy of your other systems. It knows what its pages say. If a price changed and no page was updated, your crew will quote the old price.
It is not a place where things get done on their own. Agents read the brain and draft from it. Sending an email, booking a time and spending money all wait for a person.
And it is not finished on day one. A first scan gives you a reading of your website. It becomes your brain as you confirm, correct and add to it.
