Seven things to check before you let AI talk to your customers

Before any AI tool writes to your customers, check seven things: approval, your voice, your facts, who can approve, an export, an off switch and a record of who sent what.
Letting software write to your customers is a real decision. One wrong email can cost a relationship that took years to build. So before you connect any AI tool to your inbox, run seven plain checks. None of them is technical.
For each check, this post says what to look for and shows how it works in Brainztem, so you have something concrete to compare against.
Approval: does it stop and wait?
Check one is what happens after the AI writes. A safe tool drafts and stops. In Brainztem every email starts as a draft. It goes out only after a person approves it and then presses send. There is no scheduled or automatic sending. A draft with a missing recipient, or a blank like [First name] left in it, is refused.
The same rule covers the other actions that are hard to undo. Bookings wait for you to confirm. Your crew cannot buy or pay for anything. Only you remove pages, tasks and drafts. And chat has no tools at all, so there is nothing a clever message can talk it into doing.
Your voice and your facts
Check two: does it sound like you? Customers notice a change of voice. Ask how the tool learns yours. A form full of tone words is a weak answer. In Brainztem each email you approve becomes an example of how you write. When you change a draft first, both versions are kept and your crew is told to prefer yours. You can open the receipt and read the crew's draft beside what you sent.
Check three: does it use your facts, and can you correct them? A reply with the wrong price is worse than a slow reply. Ask where the tool's facts come from and whether you can read them. In Brainztem they come from the pages in your brain. You can open any page and edit it. A fact you confirmed or corrected overrides the first reading of your website. And when the brain does not say, your crew is set up to say so instead of guessing.
Your team: who can approve
Check four. In a team, "a person approved it" is not enough. Which person? Brainztem has two roles for the people an owner invites. Approvers can approve and send. Drafters can chat, add tasks and edit, and an approver sends. Each person gets a sign-in link of their own, and the owner can change a role or remove someone.
Your exit: an export and an off switch
Check five: can you take your data out? In Brainztem the owner can download the whole workspace as one plain file from Settings, under Your data: every brain page with your corrections, your tasks, drafts and notes. There is a spreadsheet backup too. A tool with no export is a tool you cannot leave.
Check six: is there an off switch for email? You should be able to stop it in one step, without calling anyone. In Brainztem there are two switches, and they do different things. Your own mail connection, Gmail or your sending key, can be disconnected under Sources at any time. Once it is disconnected, nothing can be sent from your address through the workspace. The other switch is for the one email Brainztem sends to you, the Monday summary. It is in Settings, under Plan & email.
Your record: who sent what
Check seven. When a customer says "I never got that" or "who told me this?", you need an answer. In Brainztem each email in the Outreach list shows its state: draft, approved or sent, with the date it went. It also shows who approved it and, when a different person pressed send, who sent it.
The test of an AI tool is not what it can write. It is what it cannot do without you.
The seven checks as questions, and how to use them
Put these to any vendor, in these words. A clear answer to each one should take a sentence.
- Can anything be sent to a customer without a person approving it?
- How does it learn my voice, and can I see what it learned?
- Where do its facts come from, and can I read and correct them?
- Who on my team can approve and send, and who cannot?
- Can I download everything, in a format I can open?
- How do I stop it sending email, and where is that switch?
- Can I see who approved and who sent each message?
Do not accept "it is configurable" as an answer to the first question. A setting can be changed by someone in a hurry. Ask what happens when nobody has touched the settings at all.
Do not skip the dull ones. Exports and send records feel like paperwork until the day you need them. That day is usually a bad one, and it is too late to add them then.

Frequently asked questions
Is it safe to let AI email my customers?
It can be, if the tool drafts and waits. In Brainztem every email is a draft until a person approves it and presses send, and there is no automatic sending.
What should I ask an AI vendor before connecting my inbox?
Ask whether it can send without approval, where its facts come from, who on your team can approve, whether you can export everything, how you switch email off, and whether it records who sent what.
Can a team member send without the owner knowing?
Only the owner or an approver can approve and send. The Outreach list shows who approved an email and who sent it.
What happens if I disconnect my email?
Nothing can be sent from your address through the workspace until you connect it again. You can disconnect under Sources at any time.
