A safe AI email assistant drafts the reply and waits for you. Here is what to look for, how draft, approve, send works in Brainztem, and how to set it up.

Email is where a small business loses hours. Not on the hard messages. On the ordinary ones: can you come Thursday, do you cover my area, what would this cost, did you get my deposit. Each takes a few lines to answer, and they pile up behind the real work.

An AI email assistant can write those replies. The question that matters is what it is allowed to do after writing them. This guide covers what a safe one looks like, how the flow works in Brainztem, and how to set it up.

What a safe one looks like

  • It drafts and stops. The reply waits for a person. There is no auto-send and no schedule that sends for you.
  • It writes from your own information. Prices, hours and policies come from what your business has written down, not from a general guess.
  • It sends from your own address. The customer sees your name and your domain, and their reply comes back to you.
  • It refuses to send a broken email. No recipient, or a blank like [First name] still in the text, should stop the send.
  • It keeps a record. You can see who approved an email and who sent it.
  • You can switch it off. Disconnecting your mailbox should be one step, in a place you can find.

Draft, approve, send

In Brainztem the order is fixed.

Draft. With your Gmail connected, the Inbox tab shows recent customer emails, newest first. Newsletters and notifications are left out on purpose. Open one and press "Draft a reply." The Email agent writes the reply for that thread, from the pages in your brain.

Approve. The draft sits in an edit box. Read it. Change anything. If it is not right, press "Draft again," or use "Reply myself" and write it your way.

Send. Press "Approve & send." The reply goes from your own Gmail address, in the same thread. A line under the list says it plainly: every reply waits for your approval, and nothing sends on its own.

The checks behind the send button

The send step has guards that do not depend on anyone being careful. A draft that has not been approved will not send. A draft without a valid recipient address will not send. A draft with an unfilled placeholder in square brackets will not send, and you are told which one to fill in.

If you edit an approved draft in Outreach, it goes back to being a draft. That way a person approves the version that will actually go out.

How to set it up

Setup happens inside your workspace, once you are on a plan. The Email agent costs $19, $29 or $49 a month depending on the level, on top of the $99 a month workspace.

  • Add the Email agent to your plan.
  • Open Sources and connect Google. It is one sign-in with the account your business uses. Brainztem asks to read and send mail and to manage calendar events, and you can disconnect in the same place.
  • Open the Inbox tab and draft a reply to a real customer email.
  • Edit it until it sounds like you, then approve and send.
  • For outreach to people who have not written to you, connect an email sending key under Sources. Those messages go out from your own domain, one at a time, when you press send.

Not on Gmail? Paste the customer's email into chat and ask for a reply. You get a draft to copy and send from your own mail program.

It moves toward your voice as you approve

Each email you approve becomes an example of how you write. If you changed the draft first, your crew keeps both versions and prefers yours. You do not fill in a style form. You answer your email, and the drafts move toward how you sound.

What it will not do

It will not answer for you while you sleep. It will not book a time for you, because bookings wait for you to confirm them. It cannot issue a refund or spend money. And if the brain does not hold the answer, your crew is set up to say so instead of guessing. A draft with a wrong fact is usually a sign that a page needs correcting.

Will an AI email assistant send emails without me?

Not in Brainztem. Every email starts as a draft, and it sends only after a person approves it and presses send. There is no scheduled or automatic sending.
